Privacy Policy

Depending on how you deal with us, we may collect:

• —Contact details: your name, email address, phone number and postcode.
• —Booking details: your dates, tent or cabin, number of guests, add-on packages, arrival time, and anything you tell us to help us look after you, such as dietary needs, accessibility needs or a special occasion.
• —Gift voucher details: the buyer’s name and contact details, and the recipient’s name and message.
• —Payment information: payments are processed by our secure payment and booking providers. We do not store full card numbers.
• —Your messages: emails, enquiries, feedback and reviews you send us.
• —Marketing preferences: whether you’ve subscribed to our newsletter, and how you interact with our emails (for example, whether an email was opened).
• —Website and advertising data: information collected by cookies and similar tools when you use our website or booking pages, such as pages visited, the device and browser you use, and how you reached us.

Mostly directly from you: when you book, buy a gift voucher, subscribe to our newsletter, email or call us, or check in during your stay. If you book through a travel website such as Booking.com, that site passes your booking details to us. Some information is collected automatically by our website, as described under Cookies below.

We use your personal information to:

• —take, manage and change your booking or gift voucher;
• —contact you about your stay, before you arrive and while you’re with us;
• —answer your enquiries;
• —send you news, offers and seasonal packages, if you’ve agreed to hear from us (every email has an unsubscribe link);
• —show you relevant ads online, and find new guests who share your interests (see the next section);
• —understand how our website and marketing perform so we can improve them;
• —meet our legal, tax and accounting obligations.

We advertise on Google (including Search and YouTube) and Meta (Facebook and Instagram). To make those ads more relevant and to reach people similar to our guests, we may share the email addresses, phone numbers and names of guests and subscribers with Google and Meta.

These details are encrypted (“hashed”) before or as they are uploaded. Google and Meta use them only to match people who have accounts with them and then delete the matching data. They do not receive your booking details, and they cannot use this list for their own purposes. We do not include anyone who has unsubscribed from our emails.

You can opt out at any time by:

• —unsubscribing from our emails or contacting us (we’ll remove you from future lists);
• —changing your ad settings in your Google account (adssettings.google.com) or in Meta’s Ad Preferences.

We do not sell your personal information. We share it only with:

• —Service providers who help us run Cosy Tents: our booking and channel-management system, payment providers, website and online shop hosting, email newsletter service, accounting software, analytics and advertising platforms, and secure online tools that help us manage bookings and draft replies to your enquiries. They may use your information only to provide their service to us.
• —Travel websites: if you booked through one. They handle your information under their own privacy policies.
• —Authorities: where the law requires it or to protect someone’s safety.

Some of our service providers store or process information outside Australia, including in the United States, Europe and Asia. We choose providers who protect personal information to a standard similar to Australian law.

Our website and booking pages use cookies and similar technologies, including Google Analytics, Google Ads and the Meta Pixel. They help us understand how the site is used, measure bookings that come from our ads, and show our ads to people who have visited our site. You can block or delete cookies in your browser settings. Some parts of the site may not work properly without them. Where our site asks for your consent to these cookies, we respect your choice.

We store your information with reputable providers that use secure systems, and we limit access to the people who need it to look after your booking. We keep booking and payment records for as long as Australian tax law requires (generally five years), and other information only while we need it. We then delete it or make it anonymous.

Cosy Tents is an adults-only property. We do not knowingly collect personal information from anyone under 18.

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to stop using it for marketing. Contact us using the details below and we’ll respond within 30 days.

If you have a question or a concern about how we’ve handled your information, please contact us first and we’ll do our best to sort it out. If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
