Booking terms and conditions

We understand that plans can change, so we kindly ask that you provide as much notice as possible if you need to reschedule your booking.

Please note that all bookings are non-refundable. However, in line with our cancellation policy below, bookings may be converted into a credit for a future stay:

• —Cancellations or reschedules made 14 days or more before the scheduled check-in date will be eligible for a booking credit, valid for 12 months from the original booking date.
• —Cancellations or reschedules made less than 14 days before the scheduled check-in date will incur a cancellation fee. The remaining balance will be issued as a booking credit, valid for 12 months from the original booking date.
• —Cancellations, reschedules, or no-shows within 48 hours of the scheduled check-in date will result in the full forfeiture of the booking, and no credit will be issued.

Upon arrival, please check in at Reception, which is open between 9:00am and 5:00pm.

Check in: 3–5pm. For arrivals after 5pm, please text us your ETA on the day.

Check out: 11am.

Cosy Tents is an adults-only campsite and unfortunately does not have facilities suitable for children or babies.

You must be at least eighteen (18) years of age to make a booking and stay at Cosy Tents.

In the interest of all guests enjoying their stay, please note parties and/or loud music are not permitted at the campsite. Group bookings of 3 tents or more are not permitted without prior approval and failure to do so may result in a cancelled booking.

Cosy Tents offers the perfect setting for exclusive hire of the campsite for events such as corporate retreats, wellness retreats, team building, engagement parties, milestone birthdays or larger family gatherings.

Exclusive hire of the campsite requires a 50% non-refundable deposit, with the remaining balance due 60 days prior to your booking. We understand that plans may change, so any modifications to your booking (including cancellations or reschedules) must be requested at least 3 months (90 days) prior to your event. All date change requests are subject to availability and cannot be guaranteed. Requests made within 90 days of your original booking date will be considered as a cancellation, and the deposit will be forfeited.

Cosy Tents is a quiet, relaxing retreat and, in respect of all guests, we have a 10pm noise policy. Please note parties, loud music and/or drunk and disorderly behaviour will not be tolerated.

Due to the surrounding farmland, unfortunately Cosy Tents is not a pet-friendly campsite.

Cosy Tents reserves the right to charge guests fees associated with replacing or repairing any damage made by guests. This may include, but is not limited to, any breakages, spillages, stains, or damage to furniture, fixtures or fittings throughout the property and/or accommodation.

Gift vouchers are valid for 3 years and are not refundable or exchangeable for cash.

Gift vouchers cannot be extended past the expiry date and the recipient must book and stay before the expiry date, otherwise any unused amounts will be forfeited. Gift vouchers are subject to availability and minimum night stay requirements, if applicable. Gift vouchers cannot be used in conjunction with any other promotions or special offers. Gift vouchers used on long weekends, public holidays or during the high season may incur an additional $50 surcharge. Glamping gift vouchers for the Classic and Luxe bell tents are not redeemable for the A-Frame cabins.

Cosy Tents recommends booking in advance to avoid disappointment.

To redeem a gift voucher, send us the voucher code, the stay and your dates on the booking page and we will make the booking for you.

If you have purchased the Mineral Spa Bathing package, please contact The Mineral Spa on (03) 5348 2100 to book your spa appointment. Cosy Tents recommends making your spa appointment at least 2 weeks prior to your stay. The Mineral Spa is located at 124 Main Road, Hepburn Springs and is open between 9am and 7pm daily, approximately a 10-minute drive from the Cosy Tents campsite.

Please note, the Mineral Spa Bathing package cannot be substituted for any other spa package, and any cancellations or amendments made to your spa appointment will incur a $25 administration fee. Any cancellations or amendments made within 48 hours of your spa appointment will be charged in full. These charges are made on behalf of The Mineral Spa and are in addition to any Cosy Tents cancellation fees.

All bookings are subject to suitable weather conditions. In the unlikely event of extreme adverse weather conditions, you will be contacted and rescheduled by Cosy Tents.

Campfires are subject to suitable weather conditions and fire bans.
