Booking Terms & Conditions
Please take the time to read these terms and conditions before booking your stay with Cosy Tents. By making a booking with Cosy Tents you agree to accept, without limitation, all of these terms and conditions of use.
All bookings made are subject to these terms and conditions and the person making the booking is deemed to have accepted these terms and conditions on behalf of the individuals staying at Cosy Tents.
Cosy Tents has the right to change or update these terms & conditions without prior notice.
Cancellation policy
We understand that plans may change so please provide us with as much notice as you can if you need to reschedule your booking.
Please note, once a booking is made no refunds will be issued, however bookings can be transferred into a credit towards a future stay in line with our cancellation policy below:
- Cancellations and/or reschedules must be made at least 14 days prior to the scheduled check in date.
- Cancellations and/or reschedules made less than 14 days prior to the scheduled check in date will incur a cancellation fee, unless the cancellations and/or reschedule is made within 48hrs prior to the scheduled check in date in which will result in a full forfeit of the booking.
- Cancellations and/or reschedules will be eligible for a credit note valid for 12 months.
Reception
Upon arrival, please check in at Reception which is open between 9:00am – 5:00pm.
For arrivals after 5pm, please text us through your ETA on the day.
Check in/Check out
Check in: 3:00pm – 5:00pm. For arrivals after 5pm, please text us through your ETA on the day.
Check out: 11:00am
Families
Cosy Tents is an adult only campsite and unfortunately do not have facilities suitable for children or babies.
You must be at least eighteen (18) years of age to make a booking and stay at Cosy Tents.
Group Bookings
In the interest of all guests enjoying their stay, please note parties and/or loud music is not permitted at the campsite. Group bookings of 3 tents or more are not permitted without prior approval and failure to do so may result in a cancelled booking.

Noise
Cosy Tents is a quiet relaxing retreat and in respect of all guests, we do have a 10pm noise policy. Please note parties, loud music and/or drunk and disorderly behaviour will not be tolerated.
Pets
Due to the surrounding farmland, unfortunately Cosy Tents is not a pet friendly campsite.
Damages
Cosy Tents reserves the right to charge guests fees associated to replace or repair any damages made by the guests. This may include but not limited to any breakages, spillages, stains, damages to furniture, fixtures or fittings throughout the property and/or accommodation.
Gift Vouchers
Gift vouchers are valid for 3 years and are not refundable or exchangeable for cash.
Gift vouchers cannot be extended past the expiry date and the recipient must book and stay before the expiry date, otherwise any unused amounts will be forfeited. Gift vouchers are subject to availability and minimum night stay requirements, if applicable. Gift Vouchers cannot be used in conjunction with any other promotions or special offers. Gift vouchers used on long weekends, public holidays or during the high season may incur an additional $50 surcharge.
Cosy Tents recommends booking in advance to avoid disappointment.

Mineral Spa Bathing Package
If you have purchased the Mineral Spa Bathing package, please contact The Mineral Spa on (03) 5348 2100 to book in your spa appointment. Cosy Tents recommends making your spa appointment at least 2 weeks prior to your stay. The Mineral Spa is located at 124 Main Road, Hepburn Springs and is open between 9am – 7pm daily. The Mineral Spa is approximately a 10 minute drive from the Cosy Tents campsite.
Please note, the Mineral Spa Bathing Package cannot be substituted for any other spa packages and any cancellations or amendments made to your spa appointment will incur a $25 administration fee. Any cancellations or amendments made within 48 hours prior to your spa appointment will be charged in full. These charges are made on behalf of The Mineral Spa and are in addition to any Cosy Tents cancellation fees.
Weather conditions
All bookings are subject to suitable weather conditions. In the unlikely event of extreme adverse weather conditions, you will be contacted and rescheduled by Cosy Tents.
Campfires
Subject to suitable weather conditions and fire bans.
